Plan an Arts Event

It’s time to plan a musical event! Follow these steps and make some decisions around the basics of what you need to think of when planning an event. Fill out your worksheet as you go.


Have student think through the following questions. Below each question are some suggested answers, but encourage students to be creative.

  • What is the purpose of the event?
    1. Just for fun – you’re planning a concert or event just to help people have fun
    2. Fundraiser – you want to get people together to help raise money for an important cause. A fundraiser is an event that raises money (funds)
    3. Celebration – your event is going to celebrate something special, for example a birthday, an anniversary, or a special holiday
    4. Community building – you want to bring people together to strengthen the community
    5. Education – you are trying to teach people about music, instruments, etc.
  • How many people do you want to attend?
  • How will you let people know or invite them?
    1. Create visual advertisements in the community: posters on walls, stacks of flyers in places, bus ads, billboards, etc.
    2. Send emails or mail letters
    3. Invite people by being present at community spaces they already visit –schools, churches, markets, etc.
    4. Create advertisements people see online
    5. Word of mouth – you invite some people and invite them to tell others
  • What will people do at the event and in what order? Activities could include:
    1. Listen to a concert
    2. Have food and drinks
    3. Play games
    4. Listen to a musician or arts administrator talk about the concert or special event being celebrates
    5. Talk to musicians or performers
    6. Create their own music or art
  • How will you keep people involved after the event?
    1. Send home a goodie bag with gifts or treats
    2. Send a thank you email or letter
    3. Schedule more events in the future and invite guests back
    4. Encourage people to share their contact information with each other to stay connected with each other
